Minutes of 12 April 2022 Hickory Farms HOA Board Meeting

Location: Hickory Farms Home and Zoom

There being a quorum, meeting was brought to order at 7:00; previous minutes were approved.

Attendance: Sean Coleman – President; Jim Bever - Vice President; Ben Noviello – Secretary; Carlie Mensen - Secretary; Ken Sorg – Treasurer; Telah Jackson – Member at Large; Thaddeus Weed – Assistant Treasurer

Old Business

“Friend of Trees” meeting scheduled for April 23rd, at 7:00 PM. A link will be provided.

Community Yard Sale scheduled for May 21st, from 7:00 AM to noon.    Rain date is May 22nd

Neighborhood Watch report:    Ready to restart on May 13 and 14th, or possibly May 21 and 21st.    Have enough volunteers to cover three months.

Treasurers report:  Sufficient money on hand to fund anticipated mowing and other maintenance tasks. Jim to work with Tad to resolve 2020 and 2021 taxes.

Branding Effort report: A plurality of the 9 community responses to proposed new community logos favored option “B1”    Motion to approve option B1 by Ben, 2nd by Telah, all vote yes; Approved

Upper Commons Area report:  Mowing has started, and “Mulching Day” is expected to be scheduled in early spring.   

Lower Commons Area report:    Waiting for response regarding possible grant to install a rain garden; continuing to explore alternative approaches to water accumulation and poor condition of asphalt path.

ACC Process Improvement report:    5 homeowners have expressed an interest in taking part in the review.    Other interested homeowners to be encouraged to take part.        It was stressed that an effective, transparent, and credible ACC process is essential to maintain home values.

New Business

Possible “group buy” to allow homeowners to repair fences was discussed.

Need for a new HOA Vice President was presented, given that the existing VP will become acting HOA President at the end of the month.

Possible realtor outreach efforts were discussed.

Additional outreach to Fairfax County regarding the deteriorating roads and sidewalks in the development was discussed.
