March 2024 Meeting Minutes

Meeting was called to order at 7:00 

Melissa moved to approve the February minutes; Ben seconded; motion passed with one abstention 

Old Business 

Commons Area 

Melissa presented a proposal of $52,100 to remove and replace the existing blacktop path in the lower commons area.  The details of this proposal were discussed, and Telah highlighted concerns about the scope and the lack of other estimates.  An ad-hoc onsite inspection meeting was scheduled for March 16th at 4:00.  Others with special knowledge of the history and context of this proposal were to be invited. 

Treasurers Report 

Judy described receiving tax returns from our CPA.  While there were no issues with the tax preparation, Judy presented her assessment that the use of a CPA added no value over what she could have done herself.  There was a discussion of other possible pragmatic reasons for using a CPA.  Melissa suggested that Judy discuss this with Bob Cosgriff, who was described as having experience with this issue.  

Judy reported that all residents paid their annual fee except two.  There was a discussion of the historical context of one of these residents, and the possible need to be more aggressive.  There was also some uncertainty as to who owned the resident's home.  Informal efforts to engage this resident were discussed before beginning more formal actions.  

  New Business  

Garage Sale 

Melissa reported concern that participation in the annual garage sale had dropped in part because of the required $10 fee. She suggested that the HOA would underwrite these fees, up to $100 in the hope that this would encourage more residents to participate.  

Ben moved to approve; Tad seconded motion passed 

Homeowner Database 

There was a discussion of possible ways to combine homeowner information down in a single database within the existing “Money Minder” software currently used.  In preparation for this, Telah and Judy agreed to do an informal “walk around” to confirm information.   

Melissa suggested we coordinate this information with Bryan Crabtree so he could use it as part of the HOA Resident database. 

There was a discussion of the need to educate the residents about the need to maintain accurate records.   

Melissa offered to create a single page folder that included relevant information about this, in addition to other information that it is mandatory to present in written form.  

There was a discussion of how many written copies of the newsletter were needed and how best to distribute them.   

Engaging with new residents 

There was a discussion of the importance of welcoming new residents, which was a function had been done by block captains in the past.  Informal discussion of how to reinvigorate this were planned, 

Melissa moved to adjourn; Telah seconded; the motion passed.
